ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Monitoring and attending to front desk area and all common areas.
Answering incoming calls and directing them to the appropriate personnel or taking messages, greeting and directing all guests, coordinating incoming and outgoing mail, accepting deliveries and distributing mail/deliveries.
Ordering and stocking of office and kitchen supplies, maintaining coffee makers, assisting with setup and ordering food for company meetings, supplying and maintaining copiers and other office machines/printers, and general maintenance of office environment. Completing company errands as needed.
On an as-needed basis, general assistance of other departments.
Processing vendor’s invoices and employee expenses through the payables cycle and maintaining accurate payable records. Processing weekly check runs. Ensure vendor/employee invoices support document amounts, quantities, approvals, receipts and proper contract/job numbers. Researching and responding to vendor/employee discrepancies and resolving disputes. Accurate annual preparation of 1099’s.
Reconciling and accurate posting of company cash receipts.
Performing other accounting functions including data entry of timesheets and vehicle log information along with preparing accounting analysis of sales tax reporting.
Other duties may be assigned.
This position does not require any supervisory duties.

EDUCATION and/or EXPERIENCE
High school degree required and/or two years of relevant employment experience. College coursework preferred.
